Creating and Editing CCLC Email Signatures

Getting Started

1. Create your signature

If you're editing your existing signature, skip to Step 3.

Click the button below to create your CCLC signature.

You will receive your new signature in an email, and you'll use it in the steps below to finish installing your signature.


2. Copy your new signature

This step is for both Windows and Mac.

Once you've filled out the form above, you'll receive an email from the CCLC with your new signature.

I. Open the email. If you're using Outlook, the CCLC logo may not appear. Click Download Pictures to show the entire signature.

II. Drag your cursor to select the entire signature, so it looks like this:

III. Press Ctrl + C on your keyboard to copy the signature.
(Press command + C on Mac.)

IV. Continue to Step 3 to install your signature.


3. Install or edit your signature on Windows

If you're using a Mac, skip to Step 6.

What version of Outlook are you using? Most staff computers use Outlook 2010 or 2016. If you're on your personal computer, you're probably using Web Access.

If one of the icons below is at the bottom of your screen, then you're using Outlook 2010 or 2016. Skip to Step 4.

Outlook Web Access
If you have to go to a web browser, like Chrome or Internet Explorer to access your email, then you're using Web Access. Skip to Step 5.


4. Outlook 2010 or 2016

I. Click File

II. Click Options in the left pane

III. Click Mail in the left pane

IV. Click the Signatures... button

V. This opens the Signatures window:

4A. Install your signature

Skip to Step 4B if you need to edit your signature.

VI. Click the New Button

VII. Enter "CCLC Signature" for the name

VIII. Next to New messages, select "CCLC Signature"

IX. Click the text box at the bottom of the window. Press Ctrl + V on your keyboard.

X. This should paste the signature. The formatting might not look right, but ignore this. Click OK.

XI. Compose a new message and make sure the signature looks correct.

XII. You're done! Finish and get help at the bottom of the page. Continue to Step 4B if you need to edit your signature.

4B. Edit your signature

Select the signature under Select signature to edit. Edit your signature in the text box below, then click the OK button.

You're done! Finish and get help at the bottom of the page.


5. Outlook Web Access

This step is for both Windows and MacOS.

I. Make sure that you're not using Internet Explorer. You might not be able to paste the signature in Internet Explorer. Use a web browser like Chrome, Safari, or Firefox instead.

II. Go to Outlook Web Access and sign in. Click here for help using Web Access.

III. Click the gear icon in the top right. Click Options.

IV. Click settings.

V. The email signature dialog should open:

5A. Install your signature

Go to Step 5B if you need to edit your signature.

VI. Click the text box under email signature.

VII. Press Ctrl + V on your keyboard. This should paste your signature.
(Use command + V on Mac)

VIII. Check the box "Automatically include my signature on messages I send".

IX. Click the save button at the bottom of the page.

X. Exit settings using the back arrow at the top left.

XI. Compose an email, and make sure your signature is correct.

XII. You're done! Finish and get help at the bottom of the page. Continue to Step 5B if you need to edit your signature.

5B. Edit your signature

Edit your signature in the text box under email signature. Click the save button at the bottom of the page.

You're done! Finish and get help at the bottom of the page.


6. Install or edit your signature on Mac

Are you using Outlook for Mac, MacOS Mail, or Outlook Web Access?

If you have to go to a web browser like Chrome or Safari to access email, you're using Outlook Web Access. Go to Step 5 if you're using Outlook Web Access.

If not, check the icons for Outlook for Mac and MacOS Mail below. One of these will be in your dock (bottom of screen) if you use them. These are the two apps covered in this tutorial.

Go to Step 7 for Outlook for Mac. Go to Step 8 for Mac OS Mail.


7. Outlook for Mac

I. Go to Outlook > Preferences...

II. Click Signatures.

III. This should open the Signatures window:

7A. Install your signature

Go to Step 7B if you need to edit your signature.

IV. Click the button. This will open a new signature window.

V. Press command + V.

VI. This should paste your signature. Click the red close dot (upper left corner) on the window. Click Save.

VII. Double click "Untitled". Enter "CCLC Signature" and hit return.

VIII. Next to New Messages:, select CCLC Signature.

IX. Close the Signatures window. Compose a new email and make sure your signature looks correct.

X. You're done! Finish and get help at the bottom of the page. Continue to Step 7B if you need to edit your signature.

7B. Edit your signature

Click the signature you want to edit under Signature name. Edit the signature in the text box to the right, then close the window when you're done.

You're done! Finish and get help at the bottom of the page.


8. MacOS Mail

I. Go to Mail > Preferences...

II. Click the Signatures tab. This should open the signature settings:

8A. Install your signature

Go to Step 8B if you need to edit your signature.

III. Select "CCLC" in the left pane (this might be named something else, like your first name or your email).

IV. Click +.

V. Enter "CCLC Signature". Press return.

VI. Deselect "Always match my default message font" (important).

VII. Click the text box on the right, and delete any text that is there.

VIII. Press command + V.

IX. This should paste your signature. The images won't appear, ignore this. They will appear when composing your message.

X. Close the window, and compose a message to make sure your signature is correct.

XI. You're done! Finish and get help at the bottom of the page. Continue to Step 8B if you need to edit your signature.

8B. Edit your signature

Select the signature you want to edit in the middle pane. Edit the signature in the right pane, and close the window when you're done.

You're done! Finish and get help at the bottom of the page.
